How to convert PDF to XML

  1. Choose PDF

    Select a text-based PDF with selectable table text (max 50 MB).

  2. Convert and review

    Click Convert to XML, then review the extracted rows and columns.

  3. Download XML

    Save one .xml file. Headers appear as text inside <column> elements—not as custom tag names.

Which PDFs work best?

Best with text-based PDFs that have clear, selectable columns. Element names are fixed (pdfTables, table, column, row, cell)—PDF header text is never turned into XML tags. Tables stay separate; cell text is escaped.

No OCR here. For scanned PDFs, the text extractor offers OCR text only. Also available: PDF to Excel, PDF to CSV, and all PDF tools.

Example: PDF table to XML

Column names and cell values are stored inside fixed XML elements. A header containing spaces or punctuation remains text rather than becoming an XML tag.

Example table extracted from a text-based PDF.

Item Quantity Amount
Notebook 2 12.50
Pen 3 4.50
<?xml version="1.0" encoding="UTF-8"?>
<pdfTables>
  <table id="1" pages="1" headerDetected="true">
    <columns>
      <column index="1">Item</column>
      <column index="2">Quantity</column>
      <column index="3">Amount</column>
    </columns>
    <rows>
      <row index="1">
        <cell index="1">Notebook</cell>
        <cell index="2">2</cell>
        <cell index="3">12.50</cell>
      </row>
      <row index="2">
        <cell index="1">Pen</cell>
        <cell index="2">3</cell>
        <cell index="3">4.50</cell>
      </row>
    </rows>
  </table>
</pdfTables>

Use the XML as an intermediate file when moving a PDF inventory report into an XML-based workflow. If the destination requires a specific schema, transform these table elements to match it first.

Frequently asked questions

Short answers about text-based PDFs, OCR limits, export format quirks, and privacy.

PDF headers can be blank, duplicated, or contain characters that are invalid in XML names. Fixed tags keep the document valid while preserving header text as content.

Unrelated tables remain separate. Compatible continuations across PDF pages may be combined into one table.

No. This page needs selectable text. Use the PDF Text Extractor for OCR text only.

If no table is detected, we’ll explain why. We won’t download an empty XML file.
